Use this request form to place materials on
reserve. Submit via email to musiclib@u.washington.edu.
Please be sure to fill out the form completely to avoid any delays in processing. It is your
responsibility to be aware of copyright issues, and to read the UW
Libraries Policy on Copyright and Reserves. Reserves are processed in the order they are received.
Instructors may place music major course-related material on
reserve in the Music Library and Listening Center to facilitate access to the material for their students.
Non-music major reserve requests should be addressed to the the Odegaard
Undergraduate Library (543-2900) or the Media Center (543-6051).
Requests should be submitted at least two weeks prior to the first day of
classes to allow sufficient time to process them, including time to recall
items that are checked-out. All reserve lists are processed in the order
received.
Reserve fines apply to all users, including
faculty. We will gladly extend reserve loan periods to faculty upon request.
Please let us know if you will need an extended loan when you are checking
out your reserve materials.
The loan period for Reserve materials in the
Music Library is 2 hours, with the option of overnight check-out allowed on some materials.
Media Materials on reserve in the Listening Center are only for In-Library Use.

Request may include any combination of the following material types:

- UW Library Books and Scores: Reserve staff will collect circulating
books and scores from UW Libraries. Scores that are to accompany reserve
recordings should be placed on reserve in the Music
Library Listening
Center. Library-Use Only materials will remain in the stacks and will
not be placed on the reserve shelf. If a title or edition is
not owned by the libraries, staff may order a copy. While Reserve book and
score orders are RUSH processed, they can still take several weeks to arrive
and be made available for use.
UW Journals: The Music Library does not place journal volumes on
reserve. Photocopies from journals must be supplied by the instructor. Many
journals are also available online; please find out if you can use online
journals by searching the online
database.
Personal copies: Instructor's personal copies of books, scores,
recordings, videos, journals or photocopies (within copyright compliance) may
be placed on reserve at the owner's risk. If not retrieved at the end of the
quarter, personal copies will be returned via campus mail.
Photocopies: The instructor must supply the photocopies as library
staff cannot make photocopies. Citations for photocopied works are crucial:
this is best done by providing a photocopy of the title page. UW Libraries
accepts copies according to the Fair Use Guidelines established by the
Copyright Act of 1976.
Media Materials: Requests for videos, sound recordings, and
accompanying scores should be made using the same form as other reserves. Reserve staff
will gather recordings and videos from UW Libraries. If an item is not owned by
the Libraries, we may be able to purchase a copy. While Reserve orders are RUSH
processed, they may still take several weeks to arrive and be available for
use.
Electronic reserves are made available through Docutek ERes, a Web-based reserves system provided by the UW Libraries.
Place selected journal articles, audio files, book chapters, class notes, past
exams, and homework solutions online for easy student access. Scanned materials are limited to one chapter or article from any given source, and are not to exceed 10% of the total printed volume. A UW NetID is required to access electronic reserve readings and
streaming media.
Electronic reserves documents
are produced by scanning or converting print material provided by the
instructor into PDF (portable document format) and require Adobe Acrobat Reader
to view. Instructors are responsible for monitoring the quality of the
photocopies submitted to the Music Library. Documents lose some quality when
converted to PDF so it is best to provide
the highest quality photocopy possible. We only accept 8½" x
11", one-sided copies.

Ways to Submit E-reserves:

|
- Submit a list of articles. The UW Libraries
subscribes to online databases that provide the full text of articles in
hundreds of journals and newspapers. Reserve staff will work
with you to determine where articles are already available online and create
links in the Ereserves system. Direct URL links to online materials and your
course page may also be added to your Ereserves and
often provide a higher quality copy.
Articles available online also eliminate the need for copying and
scanning.

- Submit electronic documents by email or CD-R's. Documents already in Word, HTML, Publisher, ascii text, or PDF format may be
submitted to Music Reserve as email attachments or on computer diskettes.
Electronic format files can be posted to Ereserve
quickly and retain the accuracy of the original document. Send email
attachments to musiclib@u.washington.edu
or bring disks to the reserve desk.
- Provide sharp, unbound photocopies of book
chapters, articles, and notes to be scanned and placed on Ereserve.
These also must be accompanied by proper bibliographic citations.
Original copies will be kept on file for one quarter in the event of any
problems with the PDF documents. Mail or bring photocopies to Music Reserve
Desk, BOX 353450.
- Electronic Audio Reserves: Audio Streaming is also
available; please request any items that you would like streamed on the Course Reserve form. We can pull tracks directly
off of commercial recordings, or you may submit compilation CDs that you create in .mp3 or Quicktime (.mov) format. We currently
do not have the resources to convert digital media formats.
Instructors can manage their own
Ereserves, adding
articles, links, etc., whenever it is convenient rather than waiting for
library staff to do the processing when the library is open. To manage your own

authorize a TA to manage your
Ereserves, you must
contact reserves staff at the Music Library (543-1168). If you experience
technical issues while using
Ereserves or need
assistance adding materials, please contact Music Library staff.
When using Ereserves, faculty members are responsible for obtaining appropriate copyright permissions. To consider your options
regarding reserves and the use of copyrighted material please read the

copyrighted materials.
